JDF Lawn Bowls Club – Privacy Policy
JDF Lawn Bowls Club is committed to protecting the personal information of our members. We collect only the information needed to operate the club, ensure safety, and meet our obligations to Bowls BC and Bowls Canada. All information is handled in accordance with British Columbia’s Personal Information Protection Act (PIPA).
Information We May Collect
We collect only the information required for membership and club operations, including:
- Contact information (name, address, phone number, email)
- Emergency contact information
- Year of birth for league or event eligibility, and reporting to Bowls BC
- Eligibility to enter Novice or Intermediate tournaments
- Membership type (e.g. regular, associate, social)
- Payment method (cheque or electronic transfer; no banking details are collected)
- Competition and participation records
- Coaching and officiating credentials
- Food and beverage safety credentials
- Serve it Right/Special Event Server Certification
- Police Information Check results
- Photos and names from events
How We Use This Information
Personal information is used for:
- Managing memberships and communicating with members
- Ensuring safety during club activities
- Organizing leagues, draws, and competitions
- Reporting required information to Bowls BC and Bowls Canada
- Basic accounting and confirming payment
- Maintaining accurate club records
We do not use personal information for commercial purposes.
How Information Is Stored and Protected
Member information is stored securely by the Membership Chair and other authorized representatives as needed for their roles. Access is limited to representatives who require the information to perform club duties.
When Information Is Shared
We share only the information necessary to meet our obligations or operate the club effectively. This includes:
- Bowls BC
- Bowls Canada
- Tournament organizers (as required for draws or eligibility)
- Website and social media platforms (e.g. for posting results or photos)
- Online Member Directory (access is restricted to members)

Photos and Media
During club events, photos or names of members may appear on the club’s website, social media platforms, or printed materials. Members may request at any time that their photo or name not be used, or that previously posted material be removed.
Email and Communication
The club uses email to send membership information, updates, schedules, and announcements.
Retention and Destruction
Personal information is kept only as long as necessary for club operations. When information is no longer needed, it is securely destroyed.
Your Rights
You may:
- Request access to the personal information the club holds about you
- Ask for corrections or updates to your personal information
- Request that the club will not publish your name or photo on the club’s website or social media platforms
- Request the club remove a previously published photo from the club’s website or social media platforms
- Request that your contact information not be included in the online Member Directory
